PRACTICAL GUIDE

What does outsourced HR management include?

Outsourced HR management covers the people tasks an SME needs to handle regularly but has no dedicated person for. Mija acts as your HR point of contact: we prepare, coordinate and document, while you keep the decisions.

  • Employment contracts, amendments and well-organised personnel records.
  • Onboarding with a step-by-step checklist, access set up and the first week prepared.
  • Recording and tracking of absences, holidays and sick leave.
  • Departures: notice periods, return of equipment and the employment reference (Arbeitszeugnis).
  • Internal policies and staff regulations tailored to your company.
  • Communication with insurers and social insurance funds, in coordination with your accounting.

Which companies it makes sense for

For growing SMEs and family businesses that are starting to notice their personnel information is scattered; for start-ups hiring their first employees; and for companies with a small HR team that needs support at busy times. The support is scaled to your size: the aim is not to add bureaucracy, but to make sure every process has an owner and a place.

The Swiss framework, clearly explained

Swiss employment law is based on the Swiss Code of Obligations (Obligationenrecht, OR) and the Employment Act (Arbeitsgesetz), supplemented in many sectors by collective labour agreements (Gesamtarbeitsverträge, GAV) and by cantonal rules. We help you identify what applies to your company and reflect it in contracts and processes. When a question requires legal advice, we will tell you so that you can consult a specialist.

How we get started

  • An initial conversation about your situation and priorities.
  • A review of existing processes and documentation.
  • An action plan with owners, deadlines and deliverables.
  • Support with implementation and regular reviews.

CLEAR ANSWERS

Frequently asked questions

Does my SME need its own HR department?

Not necessarily. Many SMEs meet their needs with external support that knows the Swiss framework and is available when needed. As the company grows, this support helps prepare an in-house HR function.

Who makes the personnel decisions?

Always your company. Mija prepares the information, proposes options and coordinates implementation according to the responsibilities agreed in writing.

Can we work remotely?

Yes. Much of the work is organised remotely via the private portal and online meetings. In-person meetings are arranged depending on location and need.

How are personnel documents shared?

Through a private portal with personal access and company-specific permissions. We recommend not sending confidential documents by email.
